The Protection of Personal Information Act (POPIA) aims to "protect people from harm by protecting their personal information" and sets out strict conditions for lawful data processing. This Privacy Policy explains what information we collect when you use our farm-data platform, why we collect it, how we use and share it, and how you can exercise your rights.

Information We Collect

We collect only the personal and farm information needed to run our agricultural survey platform. In particular:

Personal/contact details

Name, phone number, email address, and physical address of a farmer or representative. (School-related data are always linked to an adult contact — we do not collect personal data of minors.)

Farm survey data

Information you provide about the farm (soil quality, water access, production metrics, geolocation, etc.). This helps us analyze agricultural conditions and improve services.

We clearly inform you of each category of data we collect, as required by privacy law. We will not collect any other personal information without your consent.

How We Use Information

We use your data to support our mission: analyzing farm conditions, improving agricultural practices, and reporting on outcomes. Your personal details allow us to contact you if needed (for example, to clarify survey answers or inform you about programs). Farm survey data is used in aggregate for research and reporting. We do not use your personal data for marketing. Any processing is done in accordance with POPIA's lawful processing conditions (generally, with your consent or for legitimate nonprofit purposes).

Sharing of Information

To advance our goals, we may share data with trusted partners. We do not sell personal information. Data sharing is limited and carefully controlled:

Shared data include general survey results (e.g. average yields, soil quality metrics) and project reports. Personal identifiers are removed before sharing whenever possible.

We explicitly state what data is shared and with whom, as recommended by privacy guidelines. Any partner organization must comply with confidentiality requirements.

Your Rights

You have rights under POPIA regarding your personal information. In particular, you have the right to:

  • Access — Request a copy of the personal data we hold about you.
  • Correction — Ask us to update or correct any inaccurate information.
  • Deletion/Destruction — Request that we delete or destroy your personal data when it is no longer needed.
  • Withdrawal of Consent — Withdraw consent for any processing you previously agreed to (to the extent consent was the legal basis).

We will respond as soon as possible, in line with POPIA, which expressly grants you the right to access, correct or delete your information. You also have the right to lodge a complaint with the Information Regulator of South Africa if you believe we have not complied with the law.

No Tracking or Cookies

Our platform does not use cookies, browser tracking, or any automated profiling. Users submit data via forms or surveys; there is no user account or login that requires tracking. As a result, we do not collect any browsing or usage data beyond the survey responses you provide.

Data Security and Retention

We implement reasonable technical and organizational measures to safeguard your data (such as access controls and encryption where appropriate). Personal data is retained only as long as necessary for the purposes above. When data is no longer needed, we securely delete or anonymize it.

Changes to This Policy

We may update this Privacy Policy from time to time (for example, if we change how we collect or use data). We will post the revised policy on our website, and the date at the top will indicate the last update. Your continued use of the platform after changes are posted will imply your acceptance of the new policy.
